Kōbō PLM Fashion Tools for ChatGPT · Last updated 2 October 2026
Kōbō PLM Fashion Tools is a set of tools you use inside ChatGPT: a tech pack builder, a sample fit review, an HS code lookup and a landed cost calculator. There are no accounts. This page explains, in plain English, what reaches us, what we keep, for how long, and who else sees it.
Who we are
Kōbō is a trading name of Gaia Tek Limited, a company registered in England and Wales, at 31 Alston Road, London SW17 0TT. Gaia Tek Limited is the data controller for the information described here. You can reach us at hello@kobolabs.io.
What we receive
When ChatGPT uses one of our tools, it sends us what the tool needs to do its job. That is:
- Your garment details as ChatGPT passes them on from your conversation: style name, description, fabric, sizes, measurements, materials, construction, colourways, care and packing notes.
- Images you upload for a tech pack or a fit review (flats, sketches, material photos, artwork, sample photos). ChatGPT gives us a short-lived link and we download the image straight away.
- Sample measurements for a fit review, and product, price and market details for an HS code lookup or a landed cost calculation.
- Technical details of each request, such as the time and the IP address it came from (normally a ChatGPT server, not your device).
We do not receive your name, email address or ChatGPT account details, and we do not ask for them. ChatGPT decides what to send us from your conversation; it does not send us the rest of your chat. Please do not put personal information about other people (for example a fit model's name) into the details you ask the tools to use.
What we keep, and for how long

Stored images and downloads sit behind long random links that are not listed anywhere. Anyone who has one of these links can open it until it expires, so share them only with people you want to see your work, such as your factory.
We do not use analytics or advertising trackers, we do not build profiles, we do not sell your information, and we do not use your designs, images or measurements to train AI models.
Who else processes it
- Our hosting provider, which runs the server and stores the images, tech packs and logs above on our behalf. Our host may keep standard network logs, such as IP addresses, for security.
- Google (Gemini API), only when you ask for flats to be drawn: by pressing "Draw flats for me" or asking ChatGPT to draw them. We then send Google the garment description, fabric, trims, colours and construction notes, and your own front and back flats if you added them, so it can return a drawing. Google processes this under its Gemini API terms. Nothing is sent to Google for any other tool.
- OpenAI, because you use these tools inside ChatGPT. What you type and upload in ChatGPT is handled under OpenAI's own terms and privacy policy, which also apply.
Our host and Google may process data outside the UK. Where they do, it is covered by the safeguards in their data processing terms, such as the UK International Data Transfer Addendum or Standard Contractual Clauses.
Why we are allowed to use it
Under UK and EU data protection law, we use this information because it is needed to give you the result you asked for, and for our legitimate interest in keeping the service secure and working. Uploading an image or asking for a drawing is your choice.
Your choices and rights
- Deletion. Everything we keep deletes itself within 7 days of last use. To have it deleted sooner, email hello@kobolabs.io. Because there are no accounts, include the image link, the image_id or the pack_id (ChatGPT can show you these), so we can find it.
- Access, correction and objection. You can ask what we hold about you, ask us to correct it, or object to how we use it, at the same address. We reply within one month.
- Complaints. If you are unhappy with how we handle your information, you can complain to the UK Information Commissioner's Office at ico.org.uk, or to your local data protection authority.
Children
These tools are for people working in fashion and are not meant for children. ChatGPT's own age rules also apply.
Changes
If we change how we handle information, we will update this page and the date at the top.
